Your business admin, handled by AI agents
Automate with KB cuts out the manual, repetitive work, from checking portals by hand to typing up receipts. Everything runs through one channel you already use: WhatsApp, Telegram, or a custom app.
Hear it from Adam
Adam runs Repetitions Fitness. Here's what changed once the gym's admin was automated, in his words.
“15 hours a week of regular admin tasks… now they're all done.”
Adam, Owner ·Repetitions Fitness ↗
“Everything can be done now from the click of a button on my phone. I don't need my laptop to log in.”
“Something used to take me between an hour, an hour and a half… now it takes like 30 seconds.”
“You're going to be able to save time, save money and ultimately save stress.”
AI agents built around how you already work
Team Operations, One Chat
Manage day-to-day operations from a single chat — WhatsApp, Telegram, or a custom chat built into your own app — instead of switching between systems. Alerts, reports, and status checks all land in the one thread your team already has open.
Example"Add Priya to Saturday's 9am–2pm shift" → the agent checks availability, confirms the change with you, then updates the roster and texts Priya — all in the same thread.
Workflow & Portal Automation
Automating the systems you already use — even ones with no API — so information flows and alerts happen without anyone having to check manually.
ExampleA supplier portal with no notifications — an agent checks it on a schedule and posts an alert the moment a purchase order status changes.
Document & Data Extraction
Using AI to turn receipts, invoices, forms, and other documents into clean, structured data automatically.
ExampleText a photo of a receipt — "paid $340 for gym towels" — and it's logged, categorized, and synced to your accounting tool in seconds.
Custom Dashboards & Reporting
Bringing scattered business data into one place, with AI-assisted views that can answer questions directly instead of requiring a manual search.
Example"How much did we spend on stock this month?" answered instantly from the real numbers — no report to dig up or spreadsheet to open.
Scheduled Alerts & Notifications
Turning things you'd otherwise have to remember to check — inboxes, portals, reports — into notifications that show up on their own, on schedule.
ExampleEvery Monday at 8am, a sales and bookings summary lands in the team chat automatically — nobody has to remember to pull it together.
What is manual work costing you?

A rough estimate to size the opportunity, not a quote.
Same jobs, without the busywork
The work still gets done. It just stops needing someone to remember to do it.

Ask in plain English, answered from your real numbers
From first chat to running automation
One job at a time, tested against your real systems before anything goes live.
- 01Step 01
Quick discovery call
We walk through your week and list the repetitive jobs: the portals you check, the messages you chase, the data you retype.
- 02Step 02
Pick the first win
We choose the one automation that saves the most time for the least disruption, and agree on exactly what it should do. This first one is free.
- 03Step 03
Build and test
I build it against your real systems and run it alongside your current process until the results match.
- 04Step 04
Go live in your chat
It starts reporting in WhatsApp, Telegram, or a custom app. Anything that changes data waits for your OK.
- 05Step 05
Tune and expand
We adjust what it flags and how often, then move on to the next job on the list.
Works with the tools you already use
If your team logs into it, an agent can usually work with it too, even when there's no official integration.
Ideas worth stealing
A menu of the kind of things AI and automation can take off your plate. None of this is exotic — it's the same practical automation used to run these projects, applied to everyday small business work.
AI Personal Assistant for Business Owners
One chat thread — WhatsApp, Telegram, or a custom app chat — that reaches across your sales website, Facebook/Instagram marketing, scheduling, and bookkeeping. Ask how many leads came in, how an ad campaign performed, book a client in, or check this month's spend, and get a real answer from the actual, current data instead of logging into four separate tools.
One-Prompt Admin Console
A chat window built into the software you already use, where you just say what you want — "cancel this member," "who hasn't checked in this week," "post this update" — and it proposes the action for a quick confirm before it happens. No new system to learn, no clicking through menus, and nothing irreversible fires without you saying yes.
AI Customer FAQ Assistant
A chat assistant trained on your own hours, pricing, and policies that answers common customer questions instantly on your website or WhatsApp — no more answering the same question by hand every day.
Missed-Call & After-Hours Follow-Up
When a call goes unanswered, the customer automatically gets a text or WhatsApp message so the enquiry doesn't just go to a competitor who happened to pick up.
Instant Lead Response
A new enquiry from your website or a form gets a personalized reply within seconds, while the customer is still interested — instead of hours later once someone gets around to it.
Automated Quotes & Invoices
A service request or job description gets turned into a ready-to-send quote or invoice automatically, instead of being typed up from scratch each time.
Appointment Reminders
Customers get an automatic reminder ahead of their booking, cutting down on no-shows without anyone having to manually text or call the day before.
Review & Reputation Monitoring
New Google or Facebook reviews are picked up automatically, with an alert and a drafted reply ready to go — so nothing sits unanswered for weeks.
Inventory & Reorder Alerts
Stock levels are watched automatically, with an alert (or even a draft purchase order) as soon as something is running low — instead of finding out when it's already out.
Chat-Based Bookkeeping
Text a receipt photo or just type "paid $340 for gym towels" into WhatsApp or a chat window, and it's read automatically, categorized as an expense or revenue line, and pushed straight into your accounting tool — no shoebox of receipts, no end-of-month catch-up entry.
Direct Debit Balance Guard
The day before a loan repayment, supplier direct debit, or payroll run, it checks the balance of the account the money comes out of. If it won't cover the payment, you get an alert with the exact top-up needed, and more reminders follow until the money is there. Once the debit clears, it cancels any reminders still waiting, so there are no dishonour fees and no stale alerts.
Paperwork Digitization
Photos of receipts, invoices, and forms are read automatically with AI and logged as structured records — turning a shoebox of paper into a searchable spreadsheet.
Automated Weekly Snapshot
A short digest of sales, bookings, or spend lands automatically every week, so you know where things stand without pulling a report together yourself.
Booking-Linked Access Control
Door, equipment, or room access unlocks automatically based on who's actually got a booking — a class, a rental, a session — instead of running on a fixed schedule that's open when it shouldn't be and locked when a paying customer is standing outside.
Automated Payroll Reports
Hours worked get pulled together automatically from your booking or timesheet system into a payroll-ready report, so payslips take minutes to run instead of a manual reconstruction every pay cycle.
Recurring Customer Updates
Members or customers get a short, automatic update — this week's classes, what's new, a reminder of what's booked — on its own schedule, instead of someone writing the same message out by hand every week.
Inbox Watching & Smart Reminders
Your inbox gets watched automatically for the emails that matter — a renewal notice, a supplier confirmation, a compliance deadline — and a reminder gets scheduled before the due date, so nothing gets missed because no one reread every email looking for it.
Client Document Chase-Up
Instead of manually tracking who's sent their PAYG summary, receipts, or statements and who hasn't, an automation follows up on its own — chasing outstanding documents by email or text until the file's complete, without anyone maintaining a spreadsheet of who still owes what.
Lodgement Deadline Tracking
Every client's BAS, IAS, or return due date gets tracked automatically, with reminders going out to the client and the practice ahead of each deadline — nothing slips through during the busiest weeks of the year.
Client Status Updates On Demand
A client can ask "where's my return up to?" over WhatsApp or a chat window and get a real, current answer pulled straight from the job tracker — instead of waiting on a callback.
What this looks like in practice
A few examples of the kind of automation problems I solve, starting with real clients I'm working with now.
Clients

Portal Monitoring & Alerts
Problem
A business relied on a third-party web portal with no API and no notifications — someone had to remember to log in and check it regularly, and things slipped through.
Solution
A scheduled automation logs into the portal on a saved session, checks for anything new or changed, and sends an instant alert the moment it matters.
Outcome
Nothing gets missed, and no one has to remember to go check a website that was never built to notify anyone.
AI-Powered Document Extraction
Problem
Receipts, invoices, and forms were arriving as photos or PDFs and being typed into a spreadsheet by hand — slow, and easy to get wrong.
Solution
An AI extraction pipeline reads incoming documents, pulls out the relevant line items and totals, and logs them directly into structured records.
Outcome
What used to be manual data entry now happens automatically, with a person only needed to spot-check the results.
Custom Dashboard with AI Chat
Problem
Business data was scattered across a few different tools, and getting a straight answer to a simple question meant digging through several of them.
Solution
A single dashboard brings the data together in one place, with an AI chat interface layered on top that can answer questions directly from the real, current data.
Outcome
Questions that used to take a search across multiple tools now get answered in one place, in seconds.
Scheduled Reporting
Problem
A recurring report was being pulled together manually on the same schedule every time, taking up time that had nothing to do with judgment or expertise.
Solution
An automated job gathers the same data on schedule and delivers a finished report — no manual pulling, formatting, or sending required.
Outcome
The report still goes out on time, every time, without anyone having to remember to build it.
WhatsApp as the Notification Channel
Problem
Alerts and reports from different systems were landing in different places — some by email, some in an app nobody opened — so things got missed.
Solution
Every automation's output gets routed to a single WhatsApp channel instead of its own app or inbox, using the messaging app people already have open all day.
Outcome
One place to check instead of five, with nothing needing a login or a separate notification setting.
Running a Gym Without the Admin
Problem
A group fitness gym was spending hours a week on admin that had nothing to do with coaching — typing supplier invoices into the accounting software by hand, writing member emails out one by one, unlocking the door on a fixed schedule regardless of who'd actually booked a class, and rebuilding payroll from scratch every pay cycle.
Solution
A set of automations wired directly into the tools the gym already runs on: invoices land in Gmail and post straight into the accounting software, weekly member emails go out on their own schedule, door access unlocks based on real class bookings instead of fixed hours, program updates publish without manual re-entry, and a payroll report pulls together hours worked so the owner can run payslips in minutes.
Outcome
The owner spends far less time on invoices, emails, access, and payroll — and far more time on the floor with members.
Hi, I'm Kireeti.
I've spent 20 years in data and automation. Most of that has been building enterprise solutions: alerting that catches problems before people do, automated workflows, and the data pipelines that feed them. I've also built quant options frameworks for SPX, with algorithms that decide when to buy and sell and place the trades automatically.
Outside of work, I've built the automation stack that runs my own household end to end: a scraper that reads swim class schedules from a portal with no notifications, a WhatsApp bot that flags school notices before they're missed, a solar dashboard that decides when it's worth charging the car, and a personal finance dashboard with its own AI chat.
This consulting brings that same enterprise-grade approach to small businesses: find the manual, repetitive part of a workflow and automate it, delivered through a channel you already check, not a new dashboard to learn. Based in Sydney, Australia.
Common questions
Anything else? Ask when we talk or email me.
Do I or my team need to be technical?
No. The automations report into a chat app you already use, and you talk to them in plain English. I handle the setup and maintenance.
What's included in the free automation?
Your first automation is built free. We start with a short call about the repetitive parts of your week, pick the one job worth automating first, and I build it and get it running for you. You only pay if you want more, and you keep the list of what's worth automating either way.
What if our software doesn't have an API?
That's common, and fine. Most of my own automations work with portals that have no API. The agent logs in and reads the page the same way a person would.
Will it do things without asking?
Only if you want it to. By default, anything that changes data, like a booking or an expense, is proposed first and waits for your confirmation.
Do I need a new app?
No. It can run entirely through WhatsApp or Telegram. A custom app is an option if you'd rather have one.
Where are you based?
Sydney, Australia. Book a call using the calendar link on this page and pick a time that suits you.
